Organization

Read your workspace's chart of people and agents, build teams, draw consultation lines between agents, and manage people's accounts.

For owners and adminsRun your workspace · page 10 of 35

Organization is the chart of your workspace: the people and agents of your workspace, who does what, and who may ask whom. Everyone can read it. Owners and admins build it: they create teams, place people and agents, draw consultation lines between agents, and manage people's accounts. This page shows you how.

Before you start#

  • Open Governance › Organization. It has two tabs: Chart and Teams.
  • Every member sees the whole chart and can correct their own card. Building the chart and managing accounts is for owners and admins.
Note

Nothing you place on the chart changes what anyone may do. What an agent may do is set on its Capabilities page in Agent Lab.

Read the chart#

  1. 1

    Open Governance › Organization.

    The Chart tab opens.

  2. 2

Move around the canvas: drag the background or scroll to pan, pinch or use + and − to zoom. You can drag a team card anywhere; the arrangement is not saved.

  3. 3

    Read it from the top:

The leadership row, the team of the people who lead the workspace.
Core Orchestration, Nexa's team, the same in every workspace: Silvestro routes what you ask, and Tessa runs projects.
Every other team, under the team it reports to.
01The chart shows every team, from the leadership row down.

Each team card shows Led by …, Reports to …, its people and agents, and how many lines it holds. Nexa agents carry the Nexa logo, and a person's personal buddy is drawn under them. A grey line between two cards is a reporting line: it shows who reports to whom and gives nobody new permissions.

  1. 4

Open Who's who, the side panel, with its tabs People, Agents and Lines. People also shows who is Not on the chart yet.

  2. 5

Click a person or an agent to open their panel.

Create a team#

  1. 1

Click New team at the head of the chart. On an empty chart, the button reads Create a team.

  2. 2

Type the team's name in Name, as your team says it.

  3. 3

Under Reports to, choose Reports to nobody or Reports to a team, then click Create team.

A team is a place on the chart. It gives nobody new permissions, and its head has no extra power from it.

  4. 4

Under Who leads …?, pick a person, type their Role in the organisation, and click Place. Or click No lead for now.

  5. 5

Under Who handles what, in …?, type a function, for example "legal check".

The function is matched to Nexa's specialty registry, which suggests Nexa agents and your own agents that cover it. Place the ones you want; nothing is placed until you place it.

02Type a function and the registry suggests the agents that cover it.

If no agent covers it, click Create new agent.

  1. 6

    Place the people.

People join through invitations; once they have a Nexa account, they appear in this list.

Edit a team#

  1. 1

On the team card, click Edit team, or open the team's panel.

  2. 2

    Change what you need:

    Rename the team.
    Change Reports to.
Show above Core Orchestration, to put the team on the leadership row.
  3. 3

One of Nexa's teams can be hidden with Hide from the chart. Its agents keep working and its lines still hold.

Place, move or take someone off the chart#

  1. 1

Open the person's or agent's panel.

  2. 2

    Choose the action:

    Place on the chart.
    Move to another team.
    Show in another team
a Nexa agent stays one agent, never a copy.
    Make the lead of ….
Remove from …, to take them out of one team.
    Take off the chart
the person stays in the workspace and keeps their account.
  3. 3

For one of your own agents, click Assign operating team to set the team that carries its consultation lines.

Note

Moving an agent's card is a chart move only. Its operating team changes only when you assign it.

Draw a consultation line#

A consultation line, or "may ask", lets one agent ask another for advice while it works, for a stated need. The line changes only the agent it starts from: the other one only answers.

  1. 1

Open one of your agents and click Draw a line from ….

The line form takes the button's place.

  2. 2

Pick the agent it may ask, among the agents in the same operating team: one of yours or a Nexa colleague.

  3. 3

Under For what?, pick the need, for example Review, Fact check, Research, Second opinion, Domain expertise or Clarification, or type your own words.

  4. 4

    Click Draw the line.

03A line gives one agent someone to ask, for a stated need.

Later, open the line's panel to switch it On or Paused, Change the need, or Remove line. The panel also shows How it has been used.

Nexa may suggest a line from how two agents work. A line Suggested by Nexa exists only when someone clicks Draw this line. Not now sets it aside.

04Every line, drawn or suggested, is listed under Lines.
Note

Lines govern advice only. They never start work, hand off a task or cross from one team to another. When a team needs another team's view, a person carries it.

Manage a person's account#

  1. 1

    Click a person.

Their panel shows their card and Account: email, Standing and Status.

  2. 2

    Click Edit account to change:

    First and last name.
    Standing in this workspace
    Make admin or Make member.
    Active
an inactive person can't sign in, but their data is preserved.
  3. 3

    Click Save changes.

05Owners and admins manage accounts from the person's panel.

From the same panel:

  • Download their data saves the person's profile, Team documents, Agora posts and activity as one JSON file. It never includes their conversations, Private documents or memories.
  • Remove from workspace takes away their place on the chart, their seat and their access. Their Nexa account stays, and an invitation brings them back.
  • Delete account is permanent. It is offered only for an account the workspace created and that belongs to this workspace alone. You confirm by typing the phrase shown.
Important

Removing a person from the workspace erases their Private documents and removes their mailboxes and calendars.

See how the lines are used#

  1. 1

Open the Teams tab, or click Consult map and effectiveness on a team card.

  2. 2

Open a team. It has four views:

    Overview.
    Members.
    Consultation Map
who may consult whom, as a graph. A consult is one bounded question, not a hand-off.
    Effectiveness
how often each path was asked, and which paths have Gone quiet — retire?
06Effectiveness shows which lines are used and which have gone quiet.

Ask Themis#

Themis is the People & HR agent and the resident of this page. Themis reads the chart and proposes how to compose teams and which line would help; you apply each step.

Click Ask Themis. On an empty chart, click Ask Themis how to start.

What you will see#

Core Orchestration is already here. The rest is yours to draw. — an empty chart, for an admin. A member reads The chart is still being drawn by your admins.
You're seeing the whole chart. Owners and admins arrange it; you can correct your own card. — the banner a member sees.
07Members see the whole chart and can correct their own card.
N people aren't on the chart yet — a reminder to place them.
Locked parts explain themselves with Why, for example Silvestro stays in Core Orchestration. Click Understood to close.
08Locked parts of the chart say why they are locked.
… can't consult anyone yet: it has no line. — on an agent without lines.
An agent's panel shows its specialty, what it does, its operating team, whether it can be cast in Blueprint projects, its lines, and Open in Agent Lab.
The chart could not be read. — click Retry.

Good to know#

  • Every member can click Edit my card to correct their role in the organization and phone.
  • Only the owner changes the owner's account, from their own Settings. You can't change your own standing or deactivate yourself.
  • A person who owns another workspace can be removed from this one, but not edited or deleted here. Someone who signed up on their own can be removed, not deactivated.
  • Silvestro and Tessa cannot be moved, removed or replaced, and Core Orchestration keeps its name.
  • A line never starts from a Nexa agent, and Silvestro and Tessa are at neither end of a line: they and Themis reach colleagues by design. A person's buddy is never consulted by another agent. Lines that belong to Nexa are shown and cannot be changed.
  • Nexa's own colleagues work in teams that exist in every workspace: Onboarding & Enablement, HR & Legal, Finance & Operations, Product, GTM & Growth, Sales & Customer Success, Content & Design, Evidence & Validation, Knowledge & Deliverables, and Data & Technology. You can add your own agents to them and draw lines from those agents, but not rename them or change Nexa's lines.
  • Placing a Nexa agent in a team only says whom it serves. Underneath, nothing changes.
  • Whether an agent can be cast in Blueprint projects is granted by Nexa, through a support ticket.
  • A person changes their own sign-in email, with proof, in Settings › Profile.
  • People join with Invite, at the top of the page.
