Invite your team

Invite colleagues by email, choose what they can do, manage pending invitations, change someone's standing, and accept an invitation.

For owners and adminsGetting started · page 3 of 35

People join a workspace only by invitation. The invitation goes by email to one address, and when you send it you decide what they can do: nobody joins without that decision. This page helps owners and admins invite and manage people, and helps invited people accept.

Before you start#

  • To invite, manage invitations and change accounts, you need to be the owner or an admin of the workspace.
  • You invite from Governance › Organization.
  • If you were invited, go straight to Accept an invitation.

Every person in a workspace has a standing:

  • Owner — the person who founded the workspace.
  • Administrator — manages people, invites and what colleagues can do.
  • Member — works with everything you let them; does not manage the workspace.

Invite a colleague#

  1. 1

    Open Governance › Organization.

On the Command Center, Invite a teammate leads here too.

  2. 2

Click Invite at the top right of the page.

    The window Invite user opens.

01New people join with Invite, at the top of Organization.
  1. 3

In Email, type your colleague's address, for example aiko@harborpine.example.

  2. 4

Under What they can do, pick one choice:

    Administrator of this workspace
everything the workspace allows, plus the right to invite colleagues and shape what they can do.
    Colleague
starts with the same set as an administrator; you can still set permissions aside later.
    Colleague, minus what you choose
the same set, with the permissions you pick set aside from day one. A list Set aside for them opens under it. Tick at least one.
    Same as me
whatever has been set aside for you is set aside for them too.
02Choose what the person can do before you send.
03Set aside the permissions the person should not have from day one.
  1. 5

Optional: pick a Team, or leave — No team —.

  2. 6

Optional: in Expires in (days), type a number from 1 to 30. Leave it blank for the default, 7 days.

  3. 7

    Click Send invite.

The window turns into Invite sent, with Email sent to …. The link reaches only that mailbox. It shows Expires, Joins as and Team.

04The summary confirms how the person joins.
  1. 8

    Click Done.

Note

The link reaches only the invited mailbox. You never hold the link yourself.

Follow, resend or revoke an invitation#

  1. 1

On Organization, open the Who's who panel, then People.

At the bottom, the list reads Invites · N pending, where N is the number of invitations still waiting.

  2. 2

Read each row: the address, the status (Pending, Accepted, Expired or Revoked) and when, for example expires in 3d.

05Pending invitations sit at the bottom of People.
  1. 3

To send the email again, click Resend, or the envelope icon. The row says Email sent again.

  2. 4

To cancel an invitation, click the revoke icon, Revoke this invite. In Revoke invite, click Revoke.

  3. 5

To tidy the list, click Purge stale invites. It removes the revoked and expired invitations. Invitations of people who still have an account are kept.

Accept an invitation#

  1. 1

Open the invitation email and click the link.

The page Accept your invitation shows the workspace, the team if there is one, and how you join, for example You'll join the Production team as a colleague. It also shows when the invitation expires.

  2. 2

Follow the case that fits you.

You have no Nexa Agora account yet

  1. 1

Fill in First name and Last name.

  2. 2

Type a Username: 3 to 50 characters. You use it to sign in, and your teammates see it.

  3. 3

Type a Password of at least 8 characters.

  4. 4

    Click Create my account.

The page says Account created — Redirecting you to sign in…. Sign in with your new account.

06An invited person creates an account right on the invitation page.

An account already uses this address

  1. 1

The page says An account already uses this address. Sign in with it, and you come back here to join.

  2. 2

Click Sign in to accept and sign in.

  3. 3

Back on the page, click Join the workspace, or Join the … team.

The page says You joined the workspace. Open it from the workspace switcher in the menu. Click Open my workspaces.

You are signed in with a different address

The page says the invitation is for another address. Click Sign out and use … and sign in with the invited address.

Change someone's standing#

  1. 1

On the Organization chart, click the person, or open them from Who's who › People.

Their panel shows Account, with Email, Standing and Status.

  2. 2

    Click Edit account.

  3. 3

In Standing in this workspace, click Make admin or Make member.

A note confirms the change. When you make someone a member, their permissions stay the same; only the right to manage the workspace goes.

  4. 4

Change the other fields if you need to, then click Save changes.

07The Account block holds the person's standing and status.

Remove someone from the workspace#

  1. 1

Open the person's panel, then Account, then Remove from workspace.

The dialog explains that the person leaves the workspace: their place on the chart, their seat and their access go. Their Nexa account stays, and an invitation brings them back.

  2. 2

Click Remove from workspace to confirm.

08Removing a person takes away their seat and access, not their Nexa account.
Important

When you remove a person, their Private documents are erased and their mailboxes and calendars are removed.

Good to know#

  • Everyone invited joins on a free seat and uses the workspace's credits. An invitation not yet accepted has no seat. The owner manages seats in Settings › Billing.
  • The invitation link is valid 7 days, unless you set another number from 1 to 30.
  • Members see the whole chart and every person's email, standing and status. They manage no account.
  • Nobody edits or removes the owner from here. The owner changes their own account in Settings.
  • A person who owns another workspace can be removed from this one, but not edited or deleted here.
  • Delete account is permanent, and you confirm it by typing the person's username. It is offered only for someone whose account this workspace created and who belongs to this workspace alone. Anyone else is removed from the workspace instead.
  • An account created through an invitation cannot open workspaces of its own.
  • Take off the chart only takes a person out of the picture. They stay in the workspace.
