Your data
Download everything about you in a workspace as one file, and delete your Nexa Agora account.
At the bottom of Settings › Profile, three cards deal with your data. Your data downloads everything about you in a workspace as one file. Delete account erases your Nexa Agora account, in every workspace. Delete workspace, shown only to the owner, explains what happens to the workspace. This page tells you what the file holds and how deletion works.
Before you start
- Open Governance › Settings › Profile and scroll to the bottom.
- Every member can export their own data and delete their own account.
Export your data
In Your data, on Export my data, click Download.
The button reads Preparing… while the file is written.
The JSON file saves to your downloads.
If you belong to several workspaces, switch workspace from the account menu and export each one.
The file covers the workspace you are in. It holds:
- Your profile and preferences.
- Your conversations, with every message in them: yours and the agents' replies, archived conversations and failed turns included.
- Your own documents, Private and Team, including deleted ones, earlier versions and the mail of a private mailbox, with their record and full text.
- Your whole activity log.
- Your Agora posts, deleted ones included.
- Your personal memory, your personal knowledge base, and what agents learned in your one-to-one chats with them and from the feedback you gave them.
Nothing is cut at a number of entries.
Delete your account
Deleting your account is permanent. Your conversations, documents, memories and buddy go, in every workspace. What you wrote in the rooms stays, signed Deleted user, because it belongs to the others too.
If you own no workspace:
In Delete account, on Delete my account, click Delete….
Read the warning, then type your username exactly where the panel asks.
Click Delete my account.
You are signed out and taken to the sign-in page. Cancel closes the panel without deleting.
If you own workspaces where you are the only person:
Click Delete… on Delete my account.
The panel explains that those workspaces go with your account, with everything in them.
For each workspace, type its short name exactly.
At Last step: prove it is you., type Your password, and, with two-step sign-in on, a code from your authenticator app or a recovery code.
Click Delete my account and workspaces.
You are signed out.
If your account has no password yet, set one first with Forgot password on the sign-in page, then come back.
If you own a workspace where other people work:
Your account cannot be deleted while you own a workspace that others use. The panel tells you the two ways forward:
- Remove the other people from the workspace, in Organization: open each person's panel and click Remove from workspace.
- Or ask Nexa support, in Settings › Support, to hand the ownership to one of the workspace's administrators.
Then come back and delete your account.
Delete a workspace
This card is shown only to the owner of the workspace you are in. Your account stays, with your other workspaces.
In Delete workspace, on Delete …, click Delete….
If you are the only person in it, read what goes with it: projects, agents, documents, rooms and conversations. Type the workspace's short name to confirm.
At Last step: prove it is you., type your password, and, with two-step sign-in on, a code. An account without a password confirms with Google, GitHub or Apple.
Click Delete this workspace.
The workspace is deleted, and you go on in your next one.
If it is your only workspace, the card says This is your only workspace, so it goes only together with your account, under Delete account. If other people work in the workspace, the card shows the same two ways forward as above.
Leave a workspace
This card is shown to everyone in the workspace except its owner. Your account stays, with your other workspaces.
In Leave workspace, click Leave….
Read what is deleted: your conversations, memories, My Desk, My Voice, your Personal Buddy and your Private documents in this workspace. What you shared with the workspace stays.
Type the workspace's short name, and The email you sign in with.
Prove it is you, as above, and click Leave this workspace.
You leave, and go on in your next workspace.
If it is your only workspace, the card says This is your only workspace. To leave it, delete your account, under Delete account.
What you will see
Good to know
- The export does not include the original files. They stay downloadable from the Library. A document without readable text, such as a photo or a scan, is listed with the reason.
- What you asked an agent to remember in a discussion or a project stays that agent's memory, and is not in the file.
- A Discord, Telegram or WhatsApp chat you connected is one conversation per chat. It holds the lines of everyone who wrote there through your connection, without their author.
- The file ends with a completion mark. A file without it is incomplete; the app does not save a cut download. A part that could not be read is named inside the file.
- An owner or admin can export what the workspace already sees of a person, from Organization: their Team documents with their text, their posts in the rooms the admin is in, their activity and the list of their conversations. Never their conversations' contents, Private documents, memories or preferences.
- Leaving a workspace is different from deleting your account. When an admin removes you from a workspace, your seat, place on the chart and access there end, your Private documents in it are erased and your mailboxes and calendars removed. Your Nexa account stays.
- No external assistant can delete a workspace, whatever it is allowed.
