Audit trail

Find who did what in your workspace, filter and search the record, open what an entry is about, and export it as a document.

For owners and adminsRun your workspace · page 12 of 35

The audit trail is your workspace's own record of governed actions, every entry written in plain language. It answers "who did what, and when": every entry names who acted, a person, an agent or the platform itself, and what happened. This page shows you how to read, filter, search and export it.

Before you start#

  • Open Governance › Operations, then the Audit trail tab.
  • Reading the workspace record is a permission of your role. If your role does not carry it, the page says so, and an administrator can grant it.
  • The trail is read-only: nobody edits or deletes entries from this page.
  • The check that the record is intact uses the same permission. Without it, the page shows neither the record nor the check.

Read what happened#

  1. 1

    Open the Audit trail tab.

Entries are grouped by day: Today, Yesterday, then dates.

  2. 2

Read each row: one sentence with who acted, the action and its time. Rows flagged in color need attention, or are errors.

  3. 3

Next to the time, each row shows its number in the record, for example #48208. A row that gathers several actions in a row shows its first and last number, for example #48205–48206.

01Each entry is one sentence: who, what and when, with its number.
  1. 4

Click What happened under a row to open its details: where it happened, the project it belongs to, the result, for example It went through as asked., and the time it was recorded. Hide details folds it again.

02An entry's details are plain facts, never raw data.

An action started by the platform reads Started by the platform, not by a person or an agent. An action taken through an external assistant is recorded under the name of the person it acts for.

Filter and search#

  1. 1

Pick a view at the top: All activity, Needs attention or Errors.

03Needs attention shows only the entries to look at.
  1. 2

Type in Search people, agents, actions to narrow the list, for example an agent's name.

04Search by a person, an agent or an action.
  1. 3

Move through the pages with Previous page and Next page.

Open what an entry is about#

  1. 1

In an entry's details, click the link it carries:

    Open the receipt
how long the run took, whose time it was and what it cost.
    Open this project.
Open this document in the Library
only while the document still exists.
  2. 2

From a receipt, See what … did in the audit trail → brings you back here, with the search filled in with that agent.

Check that the record is intact#

Every entry is sealed to the one before it. If an entry were changed, removed or added afterwards, the seal would break at that point, and the check shows where.

  1. 1

At the top of the tab, read the Tamper-evident record card.

  2. 2

    Click Verify the record.

The check reads every entry, from the first to the last: Checking every entry, from the first to the last…

  3. 3

    Read the result:

A green shield and Intact — no entry has changed since it was written., with the time of the check.
A red shield and The record breaks at entry #…, with what happened there: This entry was changed after it was written. or An entry was added, removed or moved at this point. Every entry before it is intact.
  4. 4

To check again later, click Check again.

05The check runs only when you ask for it.

If the record breaks:

  1. 1

Click Show entry #…. The list shows that entry alone, with a red shield next to its number, under Only entry #…, where the record breaks.

  2. 2

Write to Nexa from Settings › Support, with the entry number.

  3. 3

Click Show every entry to go back to the whole list.

06The number tells Nexa exactly where to look.

Some earlier entries may have been reviewed by Nexa and accepted. The card counts them, and the check reads past them.

Export the trail as a document#

  1. 1

With entries in view, click Export as document.

The export holds what the current view and search show.

  2. 2

In Save as document, keep or change the Document title. It starts as Audit trail · and the day.

  3. 3

Under Export as, choose PDF, DOCX, XLSX, HTML, MD or TXT.

  4. 4

    Click Save.

The document is saved into your private library, ready to download, and you can share it afterwards.

07Export the view you have on screen, in the format you need.

The record breaks at entry #…., Show entry #… and Only entry #…, where the record breaks.
The check could not run: followed by the reason.
Entries written in plain language, for example:
A web page opened and read while working: The pages were used as material for the answer. Nothing was sent out.
A reply measured against its brief: The check only measures: it neither holds nor changes the reply.
A document removed with every copy the workspace had made of it: Nothing of it is left to be recalled or quoted.
A routine whose report was not delivered, with what to do: restore the room, or point the routine at another one.
An Ask Chobin footer at the bottom, to have the page explained.

Good to know#

  • The trail answers "who did what". Receipts answer "whose time was this, and what did it cost". Use them together.
  • The entries you see are written for your workspace's eyes: no raw data, no internal identifiers. Nexa's internal diagnostics are not part of the trail.
  • Archiving and restoring an Agora room are recorded, and so are every run and every held action of an automation.
  • Sign-in events, such as who signed in and what was refused, are not here. Owners and admins read them in Settings › Security, under Workspace sign-ins.
