Projects

Start a project, follow the agents' work, take over a step, read the delivered document, and ask for a change.

For everyoneBuild · page 23 of 35

Projects is where work lives. Each project is a cockpit with a board of steps, the documents the team works from, and the people and agents who carry it out. A project runs through to the end by itself and reports back; you can step in at any time. This page shows you how to follow a project, take part in it and use what it delivers.

Before you start#

  • Open Build › Projects.
  • Every project starts on the Project Blueprint, its contract. Writing the contract is described in Project Blueprints; this page starts when the project exists.
  • Everyone who can see a project can follow it. Stopping, resuming, taking over a step, adding steps and asking for a change are for people who may edit the project.

Start a project#

  1. 1

    Open Build › Projects.

Under the title, the page offers Playbooks and Create a project.

01Every project starts from Create a project.
  1. 2

    Click Create a project.

    The Project Blueprint opens.

  2. 3

Write the contract and press GO.

The Blueprint says The project is running.

  3. 4

Click Open the project to land in the project's cockpit.

Find a project in the list#

  1. 1

On Projects, the strip under the header counts the projects in progress, completed and at risk.

  2. 2

Type in Search projects, people… to filter.

  3. 3

Arrange the cards: group by Status, Lead or None; sort by Recent, Progress or A–Z; switch between Grid and List.

  4. 4

Click a card to open the project.

Each card shows the status, who asked for the project, the agent leading it, the team size, the tasks done and how long ago it moved.

Read the project header#

  • The project name, with Asked by (the person whose ask started the project) and Led by (the agent leading the work).
  • The contract in short: the primary goal word for word, and chips for Success criteria, Constraints, Style & audience and the due date. Hover a chip to read the full text.
  • A counter of steps done and open, and the percentage complete. If the platform closed steps because the task budget ran out, the line says how many.
  • On the right: the agents at work, Stop the project while it runs, Details and Ask Tessa.
02The header shows the contract the project runs on.

Details shows the contract the project ran on, as it was launched, with Rename and Clone the blueprint.

Follow the work on the Board#

The cockpit opens on the Board tab. The other tabs are Task flow and Documents.

  1. 1

Choose By status or By phase.

By status, the columns are To do, In progress and Done. Review and Stopped appear only when a step is in them.
By phase, steps are grouped as Research, Analysis, Writing, Review and Publishing.
  2. 2

Read each step card: who holds it, such as Your turn, Working now, Done or Waiting, and who did it.

03Each card says who holds the step and who did it.

While a model is slow, a step can say so, for example that the model is busy and is being tried again. When the run has ended, the board sums it up.

Replay how it ran plays the project again as it ran, faster. Back to now returns to the live board.

Follow the steps in the Task flow#

  1. 1

Open the Task flow tab: every step in order, with its status.

  2. 2

Filter with All, Working, Waiting, Review, Done or Failed, pick a person or agent, or search with Search steps, people, words….

  3. 3

Click a step to open its page, with Assignment, Agent Output and Activity.

A hand-over between agents is written on the step. Open Agora thread opens the discussion of a step.

Read and keep a step's deliverable#

  1. 1

On a step that produced a document, click Read the deliverable.

  2. 2

To correct it, click Edit, then Save & Publish to Library.

  3. 3

To keep it as a Library document, click Publish to Library. This works for a partial deliverable too.

The button then reads In the Library, and Open in the Library opens it.

See what the team works from#

  1. 1

    Open the Documents tab.

Given to this project lists the documents. Every agent on the project reads them.

  2. 2

To add a document, click Choose from the Library, search, then Give to the project. Or click Upload a document: a file, a text or a link, which also lands in your Library.

  3. 3

To detach one, click Remove from project.

04What the team was given, and what it actually read.

Below, the tab shows what the team actually read: On the web, with the sites and pages read, and In the workspace, such as passages recalled from the Company Brain.

Take over a step, or answer when it is your turn#

  • On the board, a step that is not finished offers Take over: it becomes your passage, and you hand it back when you are done.
  • When the agents reach a step that waits for a person, a banner says It's your turn, with the step.
  1. 1

Write in Your answer for the agents. Attach a document if needed.

  2. 2

Click Hand back to the agents.

05Answer, then hand the work back to the agents.

Add a step by hand#

  1. 1

On the board, click New task.

  2. 2

Fill in What needs to be done? and, optionally, Context.

  3. 3

Under Assign to, choose an agent, Unassigned, or a person.

A step assigned to a person is a human passage: when the agents reach it, it waits for that person, who then hands it back.

  4. 4

    Click Create task.

Talk with Tessa about a project#

Tessa is the Project Manager. Click Ask Tessa in the project header to have the status summarized, blockers surfaced or the remaining work re-planned, for this project. New chat starts over.

Stop or resume a run#

  1. 1

While the project runs, click Stop the project.

Waiting work is cancelled and no new step starts. A step already running stops at its next move, so at most one more round is spent. Everything done so far stays.

  2. 2

Click Stop, or Keep it running.

06Stopping keeps everything done so far.

To continue later, click Resume the project. It picks up where it stopped.

Read what went wrong#

If a step did not come back complete, a notice appears above the tabs: One step did not come back complete.

  1. 1

    Click Open the project room.

The project's discussion in Agora opens, where the platform writes what was missing.

07What happened is written in the project room.

If the workspace ran out of credits, the notice says so. The project starts again by itself once the credits are back; Top up credits leads to Billing.

Ask for a change to the delivered document#

When the run has ended, a banner says The document is delivered, with its title and version.

  1. 1

    Click Ask for a change.

  2. 2

Under Starting from, read which version your change applies to. What you don't ask to change stays as it is.

  3. 3

Write Your request: what should change, or what the document should say. For example, "shorten the introduction and add a section on the costs in Spain".

  4. 4

Optionally, add Material for the request: A link, A pasted text, From your Library or Files from your computer.

  5. 5

Optionally, adjust Style and audience: Audience, Register, Format and Language.

  6. 6

    Click Send the request.

08A change makes a new version of the same document.

A new version of the same document is published in the project's documents, and the project room gets a note on what the new version could not cover. The specialists don't work again, and nothing else in the project restarts.

If the run ended with no final document, the banner reads The project ended without its document, with Ask for the document.

Run the same contract again#

A launched contract cannot be edited. To run again with corrections, open Details and click Clone the blueprint. Correct the new draft and press GO. The first project stays as it was.

Delete a project#

  1. 1

On the project's card in the list, open Project actions (⋮), then Delete project.

  2. 2

    Confirm with Delete.

Important

Deleting a project and its tasks cannot be undone.

What you will see#

Status chips: In progress, In review, Planning, On hold, Completed, Archived, Stopped and At risk, with a reason such as Past target date.
This project stopped — It will not resume on its own. — with the cause in plain words, for example that the material grew beyond what the chosen model can read in full, and the two ways forward: choose a model with a larger context for that role and clone the blueprint, or start a new project with less material.
The project could not start. Press GO again to start a fresh run. — with GO again.
Closed with unfinished steps, or closed without its final document.
Step outcomes: Review passed., The review asked for corrections. or Reviewed — some criteria could not be verified.
Only a project editor can act here — for people who may not edit the project.

Good to know#

  • There is no form that creates a project without a Blueprint, and agents cannot found projects.
  • There is no priority, supervision or involvement setting on a project.
  • A stop is a fact, not a request: there is no Approve button on a stop.
  • When a criterion could not be verified, the note says "we cannot say it is satisfied, and we cannot say it is not".
  • Links added to a change request are read as material; they are not copied into the document as links.
  • Only the project's owner, the people with a step in it and the workspace's admins see the documents given to a project. Material added to a change request becomes a document of the project, readable by its members and agents.
