Schedule and automations
Read your agenda and the Company Clock, set up recurring agent runs, govern the automations that act for you, and reschedule tasks.
Schedule shows what runs on its own, and when the rest of the work lands. It holds three parts: the Agenda of your calendars, the Automations that run without you, and the Company Clock, one shared timeline of your work and your agents' work. This page shows you how to set up a recurring agent run, keep automations in check, and manage tasks on the timeline.
Before you start
- Open Focus › Schedule.
- Silvestro presides over the page. Click Ask Silvestro in the top bar if something on the timeline needs explaining.
- Every recurring automation belongs to a person, its owner: nothing runs without a name on it.
Read the page
Open Focus › Schedule.
A line under the header counts your work, for example 3 open tasks across 2 projects and 1 on your desk.
Read the Agenda: your calendars, and the ones colleagues share with you. Click Fold the agenda to keep it to one line with your next appointment.
Read Automations. A state line counts the loops running, paused or needing attention. Two tabs:
Read the Company Clock, the timeline. What is urgent sits on the left, what has room on the right. Switch Week or Month, move with the arrows, and zoom in or out. Now marks the present.
Tasks without a date sit apart under Off the clock.
Set up a recurring loop
A loop is a recurring agent run, written as one mission: what should run, how often, which colleague runs it, and where its output lands.
In Automations, click New loop.
The panel A new loop opens.
In What should run, write the mission, for example "Summarise last week in #general".
Complete the sentence Run it …, as …, and deliver it to …:
Under First run, choose immediately, or wait one interval.
Optionally, open Autonomy contract — optional to spell out what the loop may do alone and where it must ask you first. The main clauses are What it's for, What it may do on its own, Where it must ask you first and How to undo it. Every clause is optional, one line each.
Click Schedule this loop.
The note under the button reads It starts paused — switch it on in the ledger when you're ready.
Switch a loop on, run it, pause it
In Scheduled tasks, click the loop's row to open its controls.
Click Resume to switch it on, or Pause to stop it at a boundary.
To run it once now, off its rhythm, click Run now.
Edit a loop
A loop's controls have three parts:
- What it does — the Instructions, with Edit the instructions; Runs as, the agent; Lands in, the delivery room, which you can change; and Last run.
- Contract — Write one, or Edit the contract, then Save the contract. It takes effect from the next run.
- Timing — How often, and Next run. Move the next run moves only the next one; the rhythm stays.
To delete a loop, click Delete and confirm at Removed for good?
Govern the automations that act for you
An automation that acts on your authority is born from a confirmation card in chat. When you ask a colleague to take something over as a routine, for example "do this every morning and post it to #general", the agent answers with a card naming the schedule, the sources it may read and the outward actions it may take. The card proposes; you confirm.
Click the My automations tab.
Each automation shows what it reads and how many scheduled tasks run on it.
Use its switch to turn it off or on. Off, every trigger that points to it stops until you switch it back on.
Click Narrow what it may do, tick the outward actions you allow, such as Post in Agora or Schedule a task, and click Save perimeter. Reading and reporting back never need a tick.
To end it, click Revoke and confirm. Its triggers retire with it.
Below the list, What could run for you shows what your connected tools make possible, with Set it up or Manage for each tool.
Reschedule or close a task
Click a task's card on the Company Clock.
Its detail opens.
Click Reschedule, or Put it on the clock if it has no date.
Pick Today, In 3 days, Next week, In 2 weeks or a date, set How urgent?, then click Move deadline.
Or click Mark as done.
A recurring item shows Recurring agent loop, with Manage this schedule.
Answer your agents' asks
Click Inbox in the header.
The drawer Your agents need you lists each ask waiting on you.
Click Approve, Edit or Reject.
What you will see
Good to know
- A new loop starts paused. Switch it on with Resume when you are ready.
- Every loop names where its output lands. Without a destination, its output is discarded after every run, and the row says so.
- A loop or automation can be changed only by the person who set it up. Jobs Nexa set up can be changed only by Nexa.
- An automation acts strictly inside the perimeter its owner confirmed. An outward action not allowed at birth is held, not improvised. Every run and every held action is on the audit record.
- Tasks created on My Desk show on the Clock too.
- A delivered Assignment in Agora can also become a recurring routine, from its band in the discussion.
